Notion Review 2026: Plans, AI, Limits, and Buyer Fit
Notion starts free. Plus is $10 per seat monthly on annual billing and Business is $20. Compare AI, limits, security, offline use, and billing.
Limits: No paid workspace was used, and collaboration, import/export fidelity, offline behavior, AI output quality, and support response times were not tested. Notion localizes prices by region; this review uses current US dollar prices embedded in Notion's official pricing page and excludes tax. Notion's public pricing and help pages describe changing beta and credit-based AI features, so availability and consumption can change after the research date.
Notion is a strong choice for flexible docs, wikis, lightweight projects, and relational work tracking, but Plus no longer includes full AI and Business is the practical team tier when AI, SSO, or granular database permissions matter.

Notion combines documents, wikis, databases, forms, sites, calendars, and project views in one block-based workspace. It is unusually configurable: the same database can appear as a table, board, calendar, list, gallery, or timeline, and each record can contain a full page.
That flexibility is the reason to buy Notion and the main implementation risk. A team can shape it around existing work, but it must also decide how pages, databases, properties, templates, teamspaces, and permissions should be governed. Notion is conditionally recommended for teams that want that control. Buyers looking for a prescriptive project process or an offline-first file system should compare alternatives.
Notion pricing in August 2026
Notion charges per member, per workspace. The US prices in its current official pricing data are:

Annual billing saves about 16.7% on Plus and Business. It also delays savings from removed seats until renewal, so a team with a changing headcount may prefer monthly billing despite the higher rate.
The plans and their meaningful limits
Free
Free works best as a personal workspace. Individuals receive unlimited pages and blocks. A Free workspace with two or more members has a collaborative block limit, after which existing content remains editable but new blocks cannot be added until the workspace upgrades.
Other published Free limits include:
- 5MB per uploaded file
- 7 days of page history
- 10 external guests
- One chart
- Basic forms and sites
- Buttons, but not custom database automations
- Limited trials of Notion AI, AI Meeting Notes, and research features
Free users can choose pages to download in the desktop or mobile app for offline access. It is no longer accurate to say Notion has no offline mode.
Plus
Plus is the practical paid tier for collaboration without the full AI and governance package. It provides unlimited collaborative blocks and guests, a file limit of about 5GB per upload, 30-day history, unlimited charts, custom forms and sites, and database automations. Recent and favorite pages can auto-download for offline use in the apps.
The critical 2026 limitation is AI: Plus receives a limited trial, not ongoing full Notion AI access. Upgrading from Free to Plus does not renew the trial allowance. A team buying Plus for unlimited AI would be choosing the wrong plan.
Business
Business is the meaningful team upgrade. It includes Notion Agent, AI Meeting Notes, Enterprise Search, and research mode, subject to Notion’s fair-usage and feature rules. It also adds:
- SAML SSO and domain verification
- Private teamspaces
- Granular database permissions that can restrict collaborators to rows assigned to them
- Verified pages
- Premium connections, including additional connected services
- Conditional logic in forms
- 90-day page history
- Bulk workspace PDF export
Granular database permissions address a major limitation in older Notion reviews. They do not remove the need to test the exact page, linked-view, automation, integration, and AI permission path used by the organization.
Enterprise
Enterprise adds unlimited page history, SCIM provisioning, an audit log, advanced workspace and teamspace controls, domain management, admin content search, managed-user controls, DLP and SIEM connections, custom data retention, and customer success options. Notion advertises premium support and custom service options here.
Notion does not offer a standard SLA to smaller plans. Its plan-change documentation says a custom SLA can be offered to teams with more than 100 members. Procurement teams that require an availability commitment should obtain it in the order rather than relying on historical status-page performance.
What Notion does well on paper
Connected docs and structured data
Pages support rich text, comments, embeds, files, code, and nested content. Databases add properties, filters, formulas, relations, rollups, templates, buttons, subtasks, dependencies, and multiple views. A project brief can therefore live in the same record as its owner, status, due date, dependencies, and related goals.
This makes Notion suitable for wikis, editorial calendars, lightweight roadmaps, meeting notes, task tracking, and internal directories. It does not mean one workspace should replace every specialized operational system. Validate requirements such as resource planning, financial controls, issue tracking, and regulated records separately.
Sharing without paying for every external collaborator
Guests are not billed as members and receive access to invited pages rather than the whole workspace. Free is capped at 10 guests; paid plans list unlimited guests. This can be cost-effective for clients and contractors, but a guest upgraded to a member becomes a paid seat.
API, automations, and connections
Notion offers a public API, webhooks, embeds, link previews, connected properties, database automations on paid plans, and one-way database syncs on Business. The exact connection depends on the plan and source. Buyers should verify write-back behavior, sync frequency, property support, and failure handling for each critical integration.
Notion AI: what is included and what is separate
Free and Plus only provide limited AI trials. Business and Enterprise include the full AI workspace, covering chat, writing, database creation and autofill, meeting transcription and summaries, connected-app search, and research. Availability and usage remain subject to Notion’s limits and beta terms.
Custom Agents are a separate usage-priced feature. The pricing page lists a free trial followed by $10 per 1,000 monthly Notion credits. Do not assume that paying for Business makes autonomous agent runs unlimited.
Notion says existing workspace permissions are respected when AI generates responses. By default, Notion and its AI subprocessors do not use customer data to train models. Its LLM providers retain customer data for 30 days or fewer on non-Enterprise workspaces by default; Enterprise uses zero data retention by default. Some optional AI features may require data-retaining models and should expose an administrator setting before activation.
Those statements should be checked against the DPA and current subprocessor list for sensitive deployments. AI output quality and permission behavior were not independently tested for this review.
Billing details that can surprise teams
- Every member is a paid seat: The same person in two paid workspaces is billed in each workspace.
- Added members are prorated: Adding a member during a term creates a charge for the remaining interval.
- Removed members are not refunded mid-cycle: The open seat can be reassigned, but the bill decreases at the next monthly or annual renewal.
- Plans renew automatically: Cancellation keeps paid features through the end of the current interval.
- Guests are narrower than members: They are free but only see pages to which they are invited.
- Custom domains cost extra: Notion lists custom site domains and branding at $10 per domain monthly or $8 per month when billed annually.
Before annual purchase, audit members across every workspace and convert page-scoped external collaborators to guests where appropriate.
Security and data handling
Notion’s security documentation states:
- Customer data is encrypted with AES-256 at rest and TLS 1.2 or higher in transit.
- Customer and system data is backed up automatically at least daily.
- Two-step verification is available on all plans.
- SAML SSO is available on Business and Enterprise; SCIM and the audit log are Enterprise features.
- Notion maintains SOC 2 Type 2 and ISO 27001, 27701, 27017, and 27018 coverage.
- HIPAA use requires Enterprise security features and a signed Business Associate Agreement.
- PCI DSS compliance covers Notion’s payment processing, not customer workspace data; customers are prohibited from storing payment card data in workspaces.
These are vendor disclosures, not an independent security assessment by this publication. Organizations should review Notion’s Trust Center, DPA, subprocessors, data residency needs, retention settings, AI controls, and recovery requirements before storing sensitive information.
Support and exit planning
Notion directs users to in-product help and its Help Center. The pricing comparison advertises priority support on paid plans and custom premium support and customer success at Enterprise, but it does not publish a standard response-time commitment for the self-service plans.
All plans can export workspace content as HTML, Markdown, and CSV; bulk PDF export starts at Business. Export availability does not guarantee a lossless migration of relational databases, formulas, permissions, automations, comments, or integrations. Run a representative export before making Notion the only repository for critical knowledge.
Alternatives to shortlist by requirement
- Compare a dedicated project-management system when workload planning, critical paths, resource allocation, or standardized portfolio reporting drives the purchase.
- Compare an enterprise wiki when deep integration with an existing issue-tracking and identity stack matters more than flexible databases.
- Compare a local-file knowledge tool when offline ownership and plain-text portability are primary requirements.
- Compare spreadsheet or app-building products when cell-level calculation, transactional data, or complex workflow logic is central.
The right comparison is based on the most demanding workflow, not the number of simple tools a marketing page says one workspace can replace.
Final verdict
Notion is conditionally recommended. Free is a strong personal starting point. Plus is a reasonable collaboration tier at $10 per member monthly on annual billing, but buyers must understand that it only includes limited AI trials. Business at $20 per member monthly on annual billing is the realistic choice for a team that needs ongoing Notion AI, SAML SSO, private teamspaces, or granular database permissions.
Adopt it with an owner, naming conventions, a small set of canonical databases, tested permissions, and an export plan. Without that governance, Notion’s flexibility can create duplicated pages and competing sources of truth. With it, the product can cover a useful middle ground between documents, a wiki, and lightweight structured work.
